We collect information necessary to provide and improve the BizeBinder service:

• Account information: Email address, name, and authentication credentials (managed via Clerk).
• Manual content: The text, sections, entries, and structure you create within BizeBinder.
• File attachments: PDFs, images, spreadsheets, and other files you upload to your entries.
• Usage data: Actions you take in the app (e.g., creating sections, editing entries) to help us improve the service.
• Device data: IP address, browser type, and operating system for security and performance optimization.

2. How We Use Your Data

We use your data solely to operate and improve BizeBinder:

• To provide the core service (storing, organizing, and retrieving your operations manual).
• To enable AI features (Smart Add) when you explicitly choose to use them.
• To send essential account notifications (billing, security alerts).
• To diagnose and fix technical issues.

We do not sell your data, use it for advertising, or train AI models on your content without your consent.

3. AI and Smart Add

When you use AI Smart Add, the freeform text you provide is sent to OpenAI (GPT-4o) for classification. We do not send your existing manual content, other entries, or any data not explicitly included in your Smart Add input. You can use BizeBinder entirely without the AI feature.

4. Data Storage and Security

Your data is stored securely:

• Database: PostgreSQL with TLS encryption in transit and at rest.
• File storage: Google Cloud Storage with 256-bit AES encryption and presigned URLs for direct upload.
• Authentication: Clerk with industry-standard password hashing and session management.
• Access control: Row-level isolation — your data is never accessible to other users.

5. Your Rights

You have the right to:

• Access, export, or download all your data at any time.
• Delete your account and all associated data permanently.
• Update or correct your personal information.
• Request information about how your data is used.

6. Data Retention

We retain your data for as long as your account is active. If you delete your account, we permanently remove all your data within 30 days, except for information we are legally required to retain (e.g., billing records for tax purposes, which are kept for 7 years).

7. Third-Party Services

We use the following third-party services to operate BizeBinder:

• Clerk — authentication and user management.
• OpenAI — AI Smart Add feature (only when you explicitly use it).
• Google Cloud Storage — file attachment storage.
• Replit — hosting infrastructure.

Each third party has their own privacy policy. We only share data necessary for the specific service to function.

8. Children's Privacy

BizeBinder is not intended for use by children under 13. We do not knowingly collect data from children. If you believe a child has provided us with personal information, please contact us immediately.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or in-app notification. The "Last updated" date at the top of this page reflects the most recent revision.
